1. INTRODUCTION & GENERAL TERMS
Unicol is committed to protecting your personal information when you are using Unicol services. This Privacy Policy relates to our use of any personal information you provide to us via phone or text, by email, in letters or correspondence.
It also relates to our use of any personal information you provide to us online or by phone.
In order to provide you with the full range of Unicol services, we sometimes need to collect information about you.
This Privacy Policy explains the following:
- what information Unicol may collect about you
- how Unicol will use information we collect about you
- when Unicol may use your details to contact you
- whether Unicol will disclose your details to anyone else
- your choices regarding the personal information you provide to us
- the use of cookies on the Unicol website and how you can reject these cookies
Unicol is committed to safeguarding your personal information. Whenever you provide such information, we are legally obliged to use your information in line with all laws concerning the protection of personal information, including the GDPR May 2018 these laws are referred to collectively in this Privacy Policy as the "data protection laws".
The Unicol website may contain hyperlinks to websites owned and operated by third parties. These third-party websites have their own privacy policies, and are also likely to use cookies, and we therefore urge you to review them. They will govern the use of personal information you submit, which may also be collected by cookies whilst visiting these websites. We do not accept any responsibility or liability for the privacy practices of such third-party websites and your use of such websites is at your own risk.
2. WHAT INFORMATION WILL UNICOL COLLECT ABOUT ME?
When registering online or creating an account using Unicol’s online registration system we may receive personal information about you. This can consist of information such as your name, email address, postal address, telephone, mobile number, and company name.
By submitting your details, you enable Unicol (and where applicable its contractors) to provide you with the services you select.
Unicol also uses cookies and collects IP addresses (an IP address is a number that can uniquely identify a specific computer or other network device on the internet) from visitors to the Unicol website. The site also utilises Google Analytics in order to gather information and analyse the views of products, pages and downloads across the site.
Data gathered from our third-party email platform, Mailchimp, is gathered for marketing purposes only. This personal data, typically your name, company name, email address, and business address allows us to send you company news, product information and catalogues where applicable. This data allows us to monitor the effectiveness of our campaigns to you, to allow us to improve the content delivered. Your data is not passed on, rented or sold to any third parties.
We handle subject access requests in accordance with the GDPR. Under GDPR, you have the following rights in regard to the information collected about you;
- The right to be informed
- The right of access
- The right to rectification
- The right to erasure
- The right to restrict processing
- The right to data portability
- The right to object
- The right not to be subject to automated decision-making including profiling

3. HOW WILL UNICOL USE THE INFORMATION IT COLLECTS ABOUT ME?
Unicol will use your personal information for a number of purposes including the following:
- to provide our services and to deal with your requests and enquiries;
- for "service administration purposes", which means that Unicol may contact you for reasons related to the service you have signed up for, as set out in section 5 below (e.g. to provide you with password reminders or to notify you that a particular service has been suspended for maintenance);
- to contact you about a submission you have made, for additional information.
- to provide you with information about our services;
- to use IP addresses to identify the location of users, to block disruptive use, to establish the number of visits from different countries and to determine whether you are accessing the services from the UK or not.
- to analyse and improve the services offered on the Unicol website;
- to provide you with the most user-friendly navigation experience. Unicol may also use and disclose information in aggregate (so that no individuals are identified) for marketing and strategic development purposes.
Where Unicol proposes using your personal information for any other uses we will ensure that we notify you first. You will also be given the opportunity to withhold or withdraw your consent for the use of your personal information for purposes other than those listed above.
4. WHEN WILL UNICOL CONTACT ME?
Unicol may contact you:
- in relation to any service, in order to ensure that Unicol can deliver the service to you;
- in relation to any correspondence, we receive from you or any comment or complaint you make about Unicol products or services;
- to invite you to participate in surveys about Unicol services (participation is always voluntary);
- to update your information; and
- for marketing purposes, where you have agreed to this (see section 6 below)
5. WILL I BE CONTACTED FOR MARKETING PURPOSES?
Unicol will only use your information for marketing purposes, or to promote new services, or online content where you have agreed to this. Any marketing content will provide an unsubscribe option should you wish to opt-out at any point. Your account can also be managed via your online account or by emailing [email protected].
6. WILL UNICOL SHARE MY PERSONAL INFORMATION WITH ANYONE ELSE?
We will keep your information confidential except where disclosure is required or permitted by law (for example to government bodies and law enforcement agencies, to couriers to assist the delivery of goods) or as described in section 8 below. Generally, we will only use your information within Unicol. However, sometimes Unicol may use third parties to process your information on our behalf ie in the form of Mailchimp, as previously outlined. Unicol requires these third parties to comply strictly with its instructions and Unicol requires that they do not use your personal information for their own business purposes, unless you have explicitly consented to the use of your personal information in this way.
7. OFFENSIVE OR INAPPROPRIATE CONTENT ON THE UNICOL WEBSITE
If you post or send offensive, inappropriate, or objectionable content anywhere on or to the Unicol website or otherwise engage in any disruptive behaviour on any Unicol service, Unicol may use your personal information to stop such behaviour.
Where Unicol reasonably believes that you are or may be in breach of any applicable laws (e.g. because content you have posted may be defamatory), Unicol may use your personal information to inform relevant third parties such as your employer, email/internet provider or law enforcement agencies about the content and your behaviour.
8. HOW LONG WILL UNICOL KEEP MY PERSONAL INFORMATION?
We will hold your personal information on our systems for as long as you have an account with us. Wherever possible, we will conduct an annual review to ensure that data remains up-to-date and relevant. If you cancel your registration as a Unicol website member and your account is deleted your records stay on our system for administration purposes for 7 years, as well as following an order your data will be kept on our system for 7 years, if you have not ordered within that timeframe, your data will be deleted from our records.
9. CAN I FIND OUT WHAT PERSONAL INFORMATION UNICOL HOLDS ABOUT ME?
Under GDPR May 2018 and the Data Protection Act (DPA) 2018 you have the right to request a copy of the personal information Unicol holds about you and to have any inaccuracies corrected. (We charge £10 for information requests and require you to prove your identity with 2 pieces of approved identification). We will use reasonable efforts to supply, correct or delete personal information about you on our files.
We will not sell, distribute or lease your personal information to third parties unless we have your permission or are required by law to do so. We may use your personal information to send you promotional information about third parties which we think you may find interesting if you tell us that you wish this to happen.
10. COOKIES POLICY - INFORMATION UNICOL COLLECTS FROM YOU
A. WHAT IS A COOKIE?
A cookie is a small amount of data, which often includes a unique identifier that is sent to your computer, tablet or mobile phone (referred to here as a "device") browser from a website's computer and is stored on your device's hard drive. Each website can send its own cookie to your browser if your browser's preferences allow it, but (to protect your privacy) your browser only permits a website to access the cookies it has already sent to you, not the cookies sent to you by other websites. Many websites do this whenever a user visits their website in order to track online traffic flows.
On the Unicol website, cookies record information about your online preferences and allow us to tailor our website to your interests.
During any visit to the Unicol website, the pages you see, along with a cookie, are downloaded to your device. Many websites do this, because cookies enable website publishers to do useful things like find out whether the device (and probably its user) has visited the website before. This is done on a repeat visit by checking to see, and finding, the cookie left there on the last visit.
B. HOW DOES UNICOL USE COOKIES?
Information supplied by cookies can help us to analyse the profile of our visitors and help us to provide you with a better user experience. For example, if on a previous visit you went to our support pages, we might find this out from your cookie and highlight support information on your second and subsequent visits. Unicol uses this type of information to help improve the services it provides to its users. All third parties are strictly required not to use any information for their own business or other purposes.
C. WHAT TO DO IF YOU DON’T WANT COOKIES TO BE SET
Some people find the idea of a website storing information on their computer or mobile device a bit intrusive, particularly when this information is stored and used by a third party without them knowing. D. HOW CAN I CONTROL COOKIES?
If you don’t want to receive cookies, you can modify your browser so that it notifies you when cookies are sent to it or you can refuse cookies altogether. You can also delete cookies that have already been set.

11. CHANGES TO UNICOL’S PRIVACY POLICY
This Privacy Policy may be updated from time to time so you may wish to check it each time you submit personal information to Unicol. The date of the most recent revisions will appear on this page. If you do not agree to these changes, please do not continue to use the Unicol website or submit personal information to Unicol. If material changes are made to the Privacy Policy we will notify you by placing a prominent notice on the website.
12. CREDIT CARD DATA SECURITY
Unicol is assessed annually under the Payment Card Industry Data Security Standards (PCI DSS) and are compliant with PCI V4 compliant. All web-based credit card transactions are processed directly via Opayo or PayPal who are both fully approved level 1 service providers. Customers who pay directly, via our sales staff, our card payments are provided through Barclaycard.
